PalletTrace: warehouse traceability from dock to dispatch

The operational gap

A warehouse can move thousands of units in a day while still struggling to answer a simple question: which received goods ended up on which truck? Receiving, picking, and dispatch each have their own pace, identifiers, and hand-offs. When those records are fragmented, investigating a store-reported discrepancy becomes slow and uncertain.

PalletTrace was defined around one operational thread. A purchase-order identifier enters at the receiving dock, units are counted onto pallets, pallets are assigned to a trip, and the dispatched trip becomes the key for later audit.

One chain of custody

At one of eight docks, a receiving worker scans the purchase-order barcode from the truck manifest and enters the quantity received. Picking workers then scan pallet IDs and record the number of units placed on each pallet. At dispatch, multiple pallets are scanned onto a generated Trip ID before the load is confirmed and locked.

That sequence creates a practical lineage from trip to pallets and unit counts. When a store raises an issue through the company’s existing channels, an administrator can search the Trip ID, review its history, and record the resolution without introducing driver or store workflows that the first release does not need.

Designed for the warehouse floor

The worker experience is deliberately narrow: one action per screen, one always-focused barcode field, and large controls for the only data that must be typed — unit counts. A hardware scanner connected to a laptop and a phone camera both feed the same browser-based flow, with manual entry available as a fallback.

Feedback is immediate and visual. A successful scan produces a beep and green confirmation before moving to the next action. Errors produce a red state and a short code that a supervisor can act on. Vietnamese is the default language, badge or PIN sessions stay active on shared station devices, and people with multiple responsibilities can switch between their assigned roles.

A live operating picture

The administrator dashboard ties floor activity to a daily planned-unit target. It shows received progress, dock status, pallets picked, trips dispatched, and a recent activity stream. If the target changes during the day, workers receive a visible warning rather than continuing against an outdated plan.

Configuration stays with the people running the operation: docks, workers, stores, trucks, barcode formats, and pallet-ID rules can be maintained without changing the worker-facing process.

Scope that matches the operation

PalletTrace is a responsive web application for laptops and phones, with live connectivity required for the first release. It does not attempt route tracking, driver management, store receiving, or native mobile deployment. Keeping those boundaries explicit lets the product concentrate on the warehouse hand-offs where traceability is created — from dock to pallet to dispatched trip.
